This page provides you with information on, and hyperlinks to, all the forms that you will need to complete; in addition, the main TGOC East documents that are referred to by the forms are also available from this page. The Resources part to of this page is still in development, and information will be added to it over the coming weeks.
Forms: there are 4 online forms that participants will need to submit, which deal with:
- Entering the event;
- Selecting your preferred routes;
- Providing In Case of Emergency information; and
- Informing us of the details of any pre-booked accommodation on your route.
Each of these is described in more detail in the expandable section below, where it describes the purpose of the form, what information is required, and the timescales for the submission of these online forms.
TGOC East Online Forms
Entry Form
When is the online document available for completion and submission? The Entry Form for TGOC East will be made accessible at 1200 (GMT) on 29 Nov 2025.
What is the purpose of the Route Preference Form? The purpose is to allow applicants to apply and be allocated for a place on the event, and for the TGOC East Coordinators to assess each participant’s experience level and advise them of the routes that are suitable for their level of experience.
Who has to complete and submit an Entry Form? All those who want a place on the event have to complete and submit their own Entry Form. There is not a different form for group entries.
What information is required? Within the Entry Form you will be asked to supply:
- Your personal details (name, gender, postal address, email address, age, and phone number(s).
- Group size (the number people in your walking group (maximum of 4), the name of the group leader (we will use this person as the main point of contact) and the names of all group members (so we can link all of you as a group)).
- Experience information: some details of your walking/backpacking experience (so we can advise you of which are the most appropriate route options for you)
- Goody bag contents: T-shirt and sock size as well as whether you want a hardcopy certificate or a pin badge.
- The Declarations page: the final page of the Entry Form deals with declarations on various items (e.g. Health, Terms & Conditions, use of supplied data), and whether or not you want to be contacted by our sponsors.
Is it difficult to complete the document? We’ve tried to make it a straightforward document to complete so shouldn’t take very long, but please don’t feel pressured into completing it quickly – the answers to the questions need to be accurate, honest and in sufficient detail for us to give the right advice. If you have any questions on the Entry Form or have any comments on it, please feel free to contact the TGOC East Coordinators.
Route Preference Form
When is the online document available for completion and submission? The Route Preference Form for TGOC East will be made accessible at the same time as the Entry Form. This is so all (potential) applicants can review what information is required; however, please do not complete or submit it until you have been requested to do so by the TGOC East Coordinators. Any submittals received before it has been requested will be deleted from our records and will have to be resubmitted once it has been requested.
What is the purpose of the Route Preference Form? The purpose of the form is to allow you to identify which routes you would prefer to do. Information on all the TGOC East routes can be found on the Route Options tab on the website, which supplies enough information for you to make an informed decision on your preferences. If you require any further guidance then please feel free to contact the TGOC East Coordinators.
Once you (individual/group) have been allocated a place(s) and advised of which routes you apply for, you will be asked, by email, to pay the Entry Fee and to complete the Route Preference Form, a link to he Route Preference Form will be included in the email. This form will ask for you (individual/group) to nominate, in order of preference, for which routes you wish to be considered.
The TGOC East Coordinators will review the preferences and allocate to you (individual/group) one of you preferred routes. We will endeavour to allocate your first choice; however, as numbers on each route are limited (to stop overuse), we may have to offer you your second or third choice route.
Who has to complete and submit a Route Preference Form? Only one member of a group needs to complete and submit a Route Preference Form. Normally, this will be the nominated group leader, but it can be anyone within the group.
By when does the form need to be submitted? The Route Preference Form needs to be submitted within 14 days of receipt of the aforementioned emal.
What information is required? Within the Route Preference Form you will be asked to supply:
- The name of the group member submitting the form and email address;
- The names of the all group members and if any of them wish to attend one of the celebratory dinners.
- Your 3 route choices (in order of preference) and associated start date.
- Any feedback/questions on the form.
Is it difficult to complete the document? It’s a very short form to complete, but you will need to have done your homework and decided on which are you three top route preferences.
In Case of Emergency (ICE) Form
When is the online document available for completion and submission? The ICE Form for TGOC East will be made accessible in March/April 2026 and all participants will be emailed to request that they complete and submit the form. The ICE Form is a mandatory form and failure to complete it will result in the participant being withdrawn from the event.
What is the purpose of the ICE Form? The ICE form provides Challenge Control with information that may be used in an emergency, such as you failing to make the phone-ins to Challenge Control or us being informed of an emergency involving you. The information supplied may be shared with the emergency services.
What information is required? Within the ICE Form you will be asked to supply:
- Your name, email address, and phone numbers of the mobile phone(s) you will be using on the event.
- Any medical information about yourself of which Challenge Control should be aware.
- the names of up to three emergency contacts, their phone numbers and their relationship with you.
- Details of any tracking device or emergency beacon that you will be carrying during the event.
- Details (such as colour/make) of your clothing (waterproofs) and equipment (tent/backpack) you will be using during the event as well as a recent, digital photograph of yourself.
By when does the ICE Form need to be submitted? The ICE Form needs to be submitted by 1 May 2026. Please note this is a mandatory form.
Is it difficult to complete the document? It should not be very difficult to gather the information, but please make sure that all nominated emergency contacts are fully aware of what the event entails and that they are happy to act as an emergency contact.
Pre-booked Accommodation Form
When is the online document available for completion and submission? The Pre-booked Accommodation Form for TGOC East will be made accessible at the same time as the ICE Form. Indeed, we will probably make this form part of the ICE Form. Please note that only the Group Leader needs to complete the Accommodation Form.
What is the purpose of the Pre-booked Accommodation Form? You will no doubt pre-book some accommodation for your route such as hotels, B&Bs, hostels, campsites etc. but you will not know them at the time that your route is allocated. This form allows you to inform Challenge Control of this accommodation (name and phone number) so that, in an emergency, Challenge Control can call the accommodation to see if you have arrived.
What information is required? Within the Pre-booked Accommodation Form you will be asked to supply for each day of your walk the name and phone number of any pre-booked accommodation.
Is it difficult to complete the document? It should be very simple to complete. As stated above, we’ll probably combine this and the ICE Form into a single form.

TGOC East Documents
TGOC East Event Details
The TGOC East Event Details is a ‘must read’ document for all applicants and contains (we hope) all the information that you will need about the event. It has many hyperlinks and buttons to the TGO Challenge website, where you’ll find more detailed information and other pearls of wisdom.
If you have any questions about the event that do not appear to be answered by the Event Details, please feel free to contact the TGOC East Coordinators (by email or phone) and we’ll try our best to satisfy your question. You can also ask the Challenge community at large on our Facebook group to help – they’re a very knowledgeable and helpful bunch of people – just join the group.
TGOC East Terms & Conditions
As with any event of this nature, there has to be a set of Terms & Conditions. They are as concise as we can make them; please make sure that you read them.
TGOC East Route Options Table
The TGOC East Route Options Table that provides a general overview of all the routes available on TGOC East. It allows participants to see in a single document which routes would be appropriate for their level of experience and is a good starting point to identify your possible Route Preferences.
More detailed information on each route is available within the Route Option tab on the website.
TGOC East Route Information Pack
The Route Information Pack will consist of 3 items:
- A completed Route Sheet for the allocated route, which gives a description of each day’s walk including distance and ascent figures, and options for the overnight halt points.
- A GPX file that contains:
- A separate file for each day’s walk on the main route; and
- A separate file for each day’s walk on the Foul Weather Alternative route (if applicable).
- A Route Information Guide for the allocated route that provides advice, guidance, route options and background information on each day’s walk.
Please note, the Route Information Pack is specific to each participant/group and will be emailed to them once they have been allocated a route from their list of preferred options. These packs will not be made publicly available.
TGOC East Final Details
The TGOC East Final Details document is produced in Spring 2026 and will be posted here when available, as well as being emailed to all participants. The Final Details contains information on Challenge Control including their contact phone numbers, your TGOC East number, information on the TGOC East Safety Process, a full list of Challengers taking part in both events, and other safety and hazard information.
